Customer Challenge

Knife Capital contacted us to begin migrating their business workspace from Google Workspace to Microsoft Office 365. They wanted to ensure that this transition did not disrupt ongoing operations. Additionally, they required the migration of their Dropbox cloud storage to OneDrive to better align with their future workspace environment.

Before the migration, their setup included a combination of Google Workspace for email, Office 365 for tasks such as Excel spreadsheets and Outlook for accessing email, and Dropbox for cloud storage. This arrangement of multiple solutions, licenses, and potential points of failure indicated a need for service consolidation to reduce costs and streamline processes.

CloudZA's Solution

The migration process was divided into two distinct phases. The first phase focused on migrating Google Workspace to Microsoft Office 365 Exchange, specifically transferring the mailboxes, contacts, and calendars of each employee involved. This was accomplished using the MS Exchange Migration Tool, along with support from the Google Cloud Admin Console and APIs. Additionally, we worked with the company's DNS provider's admin console to modify the DNS records to point to Microsoft.

The second phase involved migrating the contents of primary Dropbox accounts to OneDrive while retaining the sharing permissions. Due to the specific requirements of the Dropbox accounts, the MS SharePoint Migration Tool was not compatible, so we opted to use RClone instead. After mapping the Dropbox accounts, we successfully migrated the contents to OneDrive and ensured that relevant permissions were assigned, maintaining a consistent file-sharing structure with that of Dropbox. The primary AWS service utilised for this migration was EC2, supported by CloudFormation for Infrastructure as Code (IaC).

We worked closely with the client liaison to set up the workspace environment on both ends for the initial batch migration. Throughout this process, we made sure the client was informed and up to date before and during the migration. . We conducted a group onboarding session after each batch to guide them through using their new environment and held numerous one-on-one sessions to troubleshoot and assist individuals who required additional support.

Results and Benefits

The migration effectively addressed Knife Capital's challenge of having multiple disjointed systems by consolidating their digital workspace within Microsoft's ecosystem. Through careful planning and execution, we successfully migrated Google Workspace mailboxes to Office 365 Exchange and transferred content from Dropbox to OneDrive, all without disrupting ongoing business operations. This consolidation eliminated the inefficiencies associated with managing multiple platforms while reducing licensing costs and minimising potential points of failure in their IT infrastructure.

Post-migration, Knife Capital now operates with a streamlined, unified workspace that better meets their operational needs. Employees can access all their tools from a single platform, which enhances collaboration and workflow efficiency.
