Challenge
Knife Capital is a venture capital investment firm that operates within the financial services industry, dedicated to accelerating the international growth of high-potential, innovation-driven businesses from Africa. By leveraging extensive industry knowledge, access to global networks, and strategic funding, Knife Capital empowers entrepreneurs to scale their ventures and compete on a global stage.
Knife Capital contacted CloudZA to begin migrating their business workspace from Google Workspace to Microsoft Office 365, wanting to ensure that this transition did not disrupt ongoing operations. They also required the migration of their Dropbox cloud storage to OneDrive to align with their future workspace environment.
Before the migration, their setup included Google Workspace for email, Office 365 for tasks such as Excel spreadsheets and Outlook for accessing email, and Dropbox for cloud storage. This arrangement of multiple solutions, licences, and potential points of failure indicated a need for service consolidation to reduce costs and streamline processes.
Solution
The migration process was divided into two distinct phases. The first phase focused on migrating Google Workspace to Microsoft Office 365 Exchange — specifically transferring the mailboxes, contacts, and calendars of each employee involved. This was accomplished using the MS Exchange Migration Tool, along with support from the Google Cloud Admin Console and APIs.
The second phase involved migrating the contents of primary Dropbox accounts to OneDrive while retaining the sharing permissions. Due to the specific requirements of the Dropbox accounts, the MS SharePoint Migration Tool was not compatible, so RClone was used instead. After mapping the Dropbox accounts, the contents were migrated to OneDrive with relevant permissions assigned, maintaining a consistent file-sharing structure. The primary AWS service utilised was EC2, supported by CloudFormation for Infrastructure as Code.
CloudZA worked closely with the client liaison throughout the process, conducted group onboarding sessions after each migration batch, and held numerous one-on-one sessions to assist individuals who required additional support.
Result
The migration effectively addressed Knife Capital's challenge of having multiple disjointed systems by consolidating their digital workspace within Microsoft's ecosystem. Google Workspace mailboxes were migrated to Office 365 Exchange and Dropbox content transferred to OneDrive, all without disrupting ongoing business operations. This consolidation eliminated the inefficiencies of managing multiple platforms while reducing licensing costs and minimising potential points of failure.
Post-migration, Knife Capital now operates with a streamlined, unified workspace. Employees can access all their tools from a single platform, enhancing collaboration and workflow efficiency. Comprehensive preparation documentation and close collaboration throughout the process ensured a smooth transition.
